If you don't want individual employee names showing up on the journal entries CostAllocation Pro creates for payroll cost allocation, you can turn that off with a single toggle.
Where to find it
- Log in to CostAllocation Pro.
- Click Settings.
- Select Configurations.
- Click Company Settings.
- Find the Exclude Employee Name toggle.
What it does
By default, CostAllocation Pro includes the employee's name in the description field on each line of the journal entry. That means you can search or filter your JEs in QuickBooks Online by employee name.
But not every organization wants employee names showing up there. Turning on Exclude Employee Name removes the employee's name from the JE line description, so that data doesn't appear on the journal entry at all.
When you'd want to use this
Use this toggle if you'd rather keep employee-level detail out of your journal entries — for example, if the JE is visible to people outside your core accounting team (board members, funders, auditors, subcontractors) and you don't want individual names tied to payroll allocations in that view.
Keep in mind: if you turn this on, you'll lose the ability to search JEs by employee name inside QuickBooks Online, since that's what the name in the description field enables.
Turning it on or off
- Navigate to Settings → Configurations → Company Settings as described above.
- Toggle Exclude Employee Name:
- On — Employee names are left out of the JE line description.
- Off (default) — Employee names appear in the JE line description, so you can search by employee in QuickBooks Online.
