When an employee is no longer with your organization, you’ll want to remove them from your active employee list in CostAllocation Pro (CAP). There are two easy ways to do this, depending on whether you prefer to manage employees through QuickBooks Online or directly in CAP.

Option 1: Mark the Employee Inactive in QuickBooks Online (Recommended)

If you use QuickBooks Online (QBO), this is the recommended approach since it keeps both systems aligned.

Steps:

  1. In QuickBooks Online, mark the employee as Inactive.

  2. In CostAllocation Pro, go to the Employee Cost page.

  3. Click Sync to refresh your employee list.

After syncing, inactive employees will automatically be removed from the employee cost table in CAP.

Option 2: Hide the Employee in CostAllocation Pro Only

If you prefer not to change anything in QuickBooks, you can hide the employee directly within CAP.

Steps:

  1. Navigate to Settings → Employees.

  2. Toggle the employee off to hide them.

This option only affects visibility inside CostAllocation Pro. It does not update or change anything in QuickBooks Online.
